Como gerenciar adequadamente o tempo?

Não é uma tarefa simples. Requer muita dedicação e principalmente gerenciamento. A revista Exame.com nos traz 5 dicas de como não perder este valioso aliado, o tempo:

Quando o relógio do escritório sinaliza que o expediente normal já acabou faz há horas - mas você ainda está lá - é que pode aparecer a dúvida sobre o quão competente é você no quesito administração do tempo.

“Mesmo sem querer, podemos perder o foco e desperdiçar tempo”, diz Patrícia Rocha, consultora da Sher Marketing e professora de cursos de MBA e pós-graduação. E, apenas ao constatar que a meta não será atingida no prazo determinado ou que será necessário ficar até mais tarde no escritório é que os profissionais se dão conta disso.

Ou seja, não é intencional, mas você pode estar sabotando a sua produtividade. O primeiro passo para reverter este quadro, segundo Patrícia, é ter consciência de situações ou atividades que desperdiçam tempo e eliminá-las.

Na opinião de Patrícia, prender-se a detalhes desnecessários é um dos jeitos de sabotar o fluxo produtivo durante o seu expediente.

2 Retrabalho ou dificuldade em delegar

A falta de organização e método pode fazer com que tarefas precisem ser refeitas. E, com o retrabalho gasta-se o dobro do tempo. A dificuldade em delegar também coloca a produtividade dos chefes em xeque, segundo a consultora.

“Se o profissional tem cargo de liderança, pode deixar de entregar resultados porque fica muito tempo na operação, fazendo tarefas ou tomando decisões do escopo de sua equipe ao invés de delegar, por exemplo”, diz Patrícia.

O resultado disso é que muitos chefes não têm tempo para participar de projetos mais complexos ou promover a integração das equipes.

3 Discussões sobre dificuldades e polêmicas ou reuniões intermináveis

Profissionais também tropeçam na produtividade por conta de discussões sobre polêmicas ou as dificuldades de um projeto ou tarefa. “Perdem muito tempo discutindo sobre as coisas”, diz Patrícia.

Lotar a agenda com reuniões demoradas e que pouco contribuem para dar andamento ao trabalho também roubam o tempo produtivo, explica Patrícia.

“As reuniões devem ser planejadas, com objetivo claro e específico. É fundamental que sejam bem conduzidas para que se mantenha o foco no assunto (pauta)”, diz.

Além disso, a especialista a definição do tempo e a existência de alguém responsável por conduzir os assuntos a partir de um cronograma como aspectos fundamentais para evitar a perda de horas e horas de trabalho com as reuniões.

4 Falta de planejamento de agenda

A falta de planejamento é outro item que compromete a produtividade, de acordo com a especialista. “Por não tem um planejamento e boa agenda, gasta-se muito tempo com atividades menores logo nos momentos mais produtivos”, lembra Patrícia.

Adotar este tipo de conduta vai, certamente, impactar na sua produtividade ao longo da semana. “Isso porque há má gestão de tempo e energia, o que fica mais crítico se a exigência envolve processo criativo”, diz Patrícia.

Conhecer a meta e dividi-la em partes para distribuí-las ao longo do tempo disponível é um das dicas de Patrícia. Ela também recomenda investir tempo em atividades “ não –urgentes” mas que não devem ser adiadas como o estudo e o desenvolvimento profissional.

5 Assertividade zero

A dificuldade em se posicionar e dizer não àquele colega de trabalho que pede ajuda toda hora também vai contribuir para a perda do foco.

“Ajudar os outros e trabalhar em equipe é uma coisa, mas atender às demandas dos outros, em excesso e repetidamente, certamente gera expectativas sobre as quais teremos cada vez mais dificuldade em nos posicionar”, diz Patrícia.

Eu uso muito agenda, procuro ser objetivo e principalmente ocupo meu tempo livre para fazer o trabalho que resta ou curtir a vida, pois são nestes momentos de vida que podemos ser mais criativos e efetivos aos nossos clientes.

Quem passa muito tempo na operação não tem tempo para ser criativo e não consegue criar diferenciais.

Dê tempo para si mesmo. Isto é mais do que lazer... É uma ferramenta de trabalho!
